Secretary IV, IT Job
An exciting opportunity is available for Secretary IV, IT, based in Jubail and will report directly to Chief Information Officer within the function of EBS.
Job purpose:
Provides high level Administrative Support to the line manager Chief Information Officer by managing documentation, handling appointments and meeting, preparing statistical reports, controlling confidential data/information and ensuring smooth operations at the management level, based on Trust, Integrity and Accountability.
Qualification and Requirements:
- Relevant Diploma or Bachelor’s Degree with two years of related experience
- Knowledge and experience of relevant software applications - spreadsheets, word processing, and database management
- Knowledge of administrative and clerical procedures
- Knowledge of business principles, protocols & etiquette
Position Responsibilities:
- Prepare correspondence, reports, and materials for publications and presentations.
- Prepare and maintain expense report.
- Create, transcribe, and distribute meeting agendas and minutes.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
- Setup superior’s travel arrangements
- Setup accommodation and entertainment arrangements for company visitors.
- Maintain schedules & calendar.
- Setup and coordinate meetings and conferences.
- Arrange and confirm appointments.
- Handle and collate incoming information / communication.
- Answer telephones and handle queries in appropriate manner.
- Communicate verbally and in writing to answer inquiries and provide information.
- Coordinate the flow of information both internally and externally.
- Meet and greet clients and visitors.
- Implement and maintain office systems.
- Set up and maintain filing systems & work procedures.
- Operate & maintain office equipment.
- Organize usage of common office resources such as Conference Room etc
- Maintain required level of office supplies viz. printed items, stationery, consumables.
- Perform other related duties or assignments as directed in order to ensure achievement of desired requests.
Skills:
- Proficient in spelling, punctuation, grammar, and other English language skills
- Ability to produce correspondence and documents.
